LeadKite CRM

First walkthrough

The whole tool, in the order you meet it. Inside the app the same tour starts automatically the first time and can be opened again from the menu.

  1. 01

    First login

You get in with email and password, or with a magic link. The confirmation lands in the inbox.

    • Open leadkite.app and choose Log in. Locally the address is http://localhost:3008.
    • The password must be at least 8 characters. A magic link is sent through mail.vextr.net.
    • After login you land on Overview. The first time, the tour opens by itself. Start it again from the menu.
    • kasper@myram.dk is already an administrator and cannot be deleted or demoted to member.
    • Other people become members, unless an administrator invites them as administrator.

    Overview

The home page inside the app. Six numbers and two charts.

    • Open leads are everyone who is not Won or Lost.
    • New leads, 7 days and 30 days, count the time the lead was created.
    • Open support cases are Open and Pending. Closed does not count.
    • Active campaigns have status Active and are not archived.
    • Social impressions are the sum of the impressions you typed in.
    • The bar chart is leads per stage. The line is new leads over the last 14 days.

    Campaigns

A campaign is the container. Leads, activities and posts can hang on it.

    • Create with name, description, status, start, end, budget in kroner, tags and a goal.
    • Status is Draft, Active, Paused or Completed. The end date cannot be before the start.
    • Tags are separated with commas. The goal is free text, for example “40 qualified leads”.
    • Search the list and filter by status. The archive stays hidden until you tick Show archive.
    • On the campaign you can archive and restore. Leads, recent activities and social posts sit beside it.
    • Add lead opens a new lead with the campaign already selected.

    Pipeline

The same leads as the list, shown as a board. The stages are fixed.

    • The order is New, Contacted, Qualified, Proposal, Won and Lost.
    • Drag the card to another column. A small nudge does not count, so a click on the name still opens the lead.
    • Every move writes a status line on the lead’s timeline.
    • The stage can also be changed on the lead itself. The result is the same.

    Leads

A lead is a person you are working. The contact can stay afterwards.

    • Fields: name, email, phone, company name, source, score from 0 to 100, stage, notes.
    • You can link a campaign, a company and a contact. The three lists come from what you already created.
    • Search name, email, company and source. Filter by stage.
    • The timeline shows creation, status changes, forms and what you add: call, meeting, email and note.
    • If you choose Email and tick “also send”, the text goes out by SMTP. Without an email it is not sent.
    • Delete removes the lead and its activities. Cases that pointed at it only lose the link.

    Contacts

People you know, also when they are not an open lead.

    • Fields: name, email, phone, title, company and notes.
    • Search name, email, phone and company.
    • On the contact you see the leads linked to that person.
    • Delete removes the contact. Leads keep their own fields, but lose the pointer.

    Companies

The company groups contacts and leads. A lead can also carry a free-text company name.

    • Fields: name, website and notes.
    • Search name, website and notes.
    • The company page lists contacts and leads that point at it.
    • Delete removes the company. Contacts and leads stay, without that link.

    Inbox

Support cases. Create them by hand, or let a form land them.

    • Search subject and sender. Filter by status and priority.
    • Status is Open, Pending and Closed. Priority is Low, Normal and High.
    • New case: subject, name, email, priority, optional lead, optional contact and a first message.
    • On the case you can change subject, status, priority and links.
    • A reply is sent by SMTP, the case becomes Pending, and the reply is logged on the lead if there is one.
    • An internal note is not sent. It is marked so it does not look like something the customer saw.
    • Forms that hit the webhook create a lead, an activity and an open case. An existing open lead with the same email is reused.

    Social

Planned posts and numbers you type in. Nothing is fetched from X, Instagram or LinkedIn yet.

    • Platform is X, Instagram, LinkedIn or Other.
    • Status is Draft, Scheduled or Published. Time is optional.
    • A post can be linked to a campaign and is also shown there.
    • Likes, impressions and clicks are whole numbers from 0 up. Overview sums the impressions.
    • Delete removes the post. API keys live in Settings and are not used by this page.

    Settings

Profile for everyone. Organisation, users, keys and demo data only for administrators.

    • Profile: your name. The email comes from login and cannot be edited here.
    • Organisation: name and logo. Logo is PNG, JPEG or WebP, 2 MB max.
    • Users: switch role between Member and Administrator, or remove someone other than yourself.
    • Invitation: email and role. The link is shown even if the mail could not be sent. It expires after 14 days.
    • Integrations: X, Instagram, LinkedIn, a free key and the webhook secret. An empty field does not overwrite. Remove deletes it.
    • Generate webhook secret shows the value once. Copy it immediately.
    • Demo data adds a campaign, a lead, a case and a post, but only when there are no campaigns yet.

    Form webhook

An external form can create a lead and a case without anyone sitting in the app.

    • POST to https://leadkite.app/api/webhooks/form with the header x-leadkite-secret.
    • The secret is the one you generate in Settings, or FORM_WEBHOOK_SECRET in the environment.
    • JSON must include email. Optional: name, phone, company, message, subject, source and campaign_id.
    • campaign_id must be a campaign in the same organisation. Otherwise it is ignored.
    • The response is ok, lead_id and thread_id. A wrong secret returns 401.
